What is a Document Management System?

A Document Management System is the single place an organisation keeps its business documents, with control over who can see each one, which version is current, and what has happened to it. It replaces shared drives and email attachments with one repository that is searchable, permissioned and auditable.

Can SnohDocs replace SharePoint?

For most document management use cases, yes — SnohDocs covers the repository, permissions, versioning, workflow and audit trail in one product, with AI search on top. Many customers keep SharePoint for collaboration and connect it to SnohDocs as a source, so documents stay where teams create them while SnohDocs governs and indexes them.

Does SnohDocs support version control?

Yes. Every save creates a version with its author, timestamp and change note. You can compare any two versions side by side, roll back to an earlier one, and see the full document timeline. Superseded versions stay retrievable for audit but are never served as current.

Can I search scanned PDFs and images?

Yes. Scanned documents and images are OCR-processed on upload, so their text is indexed and searchable alongside born-digital files. Handwritten annotations are captured where legible and flagged where they are not.

Is OCR included?

Yes. OCR runs automatically on every scanned upload and covers English and major Indian languages, including pages that mix printed and handwritten content.

Can SnohDocs be deployed on-premises?

Yes. SnohDocs runs as a managed cloud subscription or as a fully on-premises installation inside your own data centre, including air-gapped environments where no document may leave the network.

Is external document sharing secure?

External shares are time-limited links with optional passwords, download restrictions and dynamic watermarking that stamps the recipient's identity onto every page. Access can be revoked at any time and every view is logged.

Does SnohDocs integrate with SAP?

Yes. SnohDocs connects to SAP, Oracle and Microsoft Dynamics, along with SharePoint, Google Drive, OneDrive, Azure Blob Storage, SQL databases, email, FTP and SFTP, over standard REST APIs.

Can I control user permissions in detail?

Yes. Role-based access control works at repository, folder, document and version level, with separate rights for view, download, edit, share, approve and delete. Permissions can be mapped to the groups you already maintain in Azure AD or LDAP.

How does AI search work?

You ask in plain language rather than guessing filenames. SnohDocs matches on meaning across the document text, its OCR layer and its extracted metadata, then returns the passage that answered your question with the page reference attached. Results are always filtered to what you have permission to see.

Can documents be archived automatically?

Yes. Retention policies move documents to archive storage when their retention clock starts, keep them retrievable for the required period, and flag them for review or disposal when it ends. A legal hold overrides scheduled disposal.

Is there an audit trail?

Every upload, view, download, edit, share, approval, version change and deletion is recorded with the user, timestamp and IP address. The trail is exportable for any document or date range and cannot be edited from within the application.

Does SnohDocs support APIs?

Yes. REST APIs cover upload, search, metadata retrieval, permission changes and workflow actions, with webhooks for downstream events such as approval or expiry.

Can document workflows be customised?

Yes. Review and approval routes are configured per document type without code, including parallel reviewers, conditional routing by department or value, escalations and reminders.

Does SnohDocs support digital signatures?

Yes. Documents can be signed digitally within the approval workflow, and the signed copy is stored as a locked version with the signature record attached to the audit trail.
